The Port Hope Area Initiative (PHAI) is a federal initiative to clean up low-level radioactive waste in Port Hope and Clarington. The project involves remediating contaminated sites and consolidating the wastes in an engineered mound in the community. The PHAI Project has a very high public profile and is a top priority for the Government of Canada and the Port Hope area communities.
The Project Clerk provides corporate records management services to ensure CNL’s information assets are managed in accordance with well-defined policies, procedures, processes, and practices in order that records may be retrievable in the future to support department requirements. The role is solely responsible for record entry and validation.
What will you be doing!
- The Clerk will be required to prepare documents, and track and transmit documents internally and externally with project stakeholders.
- Performs daily record entry for Small Scale Sites and teams as needed using Content Server and Windows Explorer. This includes the responsibility of quality control throughout the migration process on thousands of electronic records while also ensuring the validity of records through accurate data entry.
- On a daily basis manages and maintains electronic records as per CNL standards and licensing requirements, processes, and systems and ensures compliance by performing regular audits and assessments on inventories.
- Works together with record owners to ensure quality is maintained as per Information Management standards and that improper activities are resolved and record owners are coached for continuous record improvement.
- Responds to project staff inquiries regarding record holdings and assist with retrieving records with timely and accurate responses.
- Takes and prepares minutes of meetings and distributes them to attendees for review and comment.
- Books conference rooms; arranges meetings (including tele/video conferencing) and catering; performs photocopying/scanning; sends/receives faxes, mail outs and sending letters and escorts visitors.
- Other duties as assigned by your manager.
Education:
Preference may be given to those applicants with a records and information management certificate or training in office administration. This could be from a recognized college and/or having two (2) to three (3) years of progressive relevant experience in a project team environment or remediation. However, candidates with a minimum Grade 12 or equivalent in technical training and proven experience will be considered.
Security clearance eligibility required:
Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom.
