Tenant Service Coordinator

Reporting to the Facility Manager, this role will be responsible for building and maintaining strong tenant and vendor relations. This is a hands-on, tactical position that requires the ability to multi-task, be resourceful, and make decisions independently based on company policies. The successful candidate will have strong communication skills, excellent computer knowledge, a customer-focus mindset, and the ability to learn and adapt quickly.
Location: North Battleford, SK (Onsite Work)
Your role within the team:
- Be the foundation for maintaining and enhancing customer satisfaction. Work constructively with the team to ensure customer requirements are met. Represent the team as the first-point contact; dispatch work orders; monitor and track work status; conduct follow-ups, etc.
- Assist with contractor management and deployment throughout the building.
- Develop a working knowledge of client work processes, workplace culture and policies essential for effective tenant service delivery.
- Use initiative and good judgment, work in a cooperative, timely and efficient manner that is proactive in communicating and sharing information.
Provide administrative support to the team, including but not limited to:
- Create purchase orders, invoice reconciliation, and assist with other accounts receivable/payable duties as necessary
- Prepare, edit, and proof-read correspondence, presentations, spreadsheets, reports and other documents
- Manage security clearances requirements
- Maintain and update tenant, employee and vendor contact lists
- Maintain and order office/kitchen supplies inventory
- Handle outgoing and incoming mail
- Prepare expense reports and other monthly reports as necessary
- Accompany management to meetings and take minutes as necessary
- Manage boardroom reservations
- Assist management team when requested. Complete other duties as assigned by the Facility Manager.

The ideal candidate:
- A High School diploma is required. Diploma or Certification in Office Administration, Facilities Management, Supply Management, or Project Management is preferred.
- Minimum 1 year experience in an administrative position.
- Ability to obtain applicable security clearance is a must.
- Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word).
- Experience working with JD Edwards EnterpriseOne or similar applications would be an asset.
- Ability to deal with requests and/or situations with great sensitivity and tact.
- Superior client management/customer service skills with an emphasis on verbal/written communication. Excellence in proof-reading and editing skills would be an asset.
- General knowledge of accounting principles, tendering processes, and Health & Safety standards would be an asset.
- Strong organizational, analytical, and listening skills
- Ability to work independently, set priorities, meet deadlines, and multi-task
- Skilled in developing strong working relationships with contractors, clients and consultants.
