Aecon Nuclear provides a full spectrum of Engineering, Procurement and Construction (EPC) services, in addition to maintenance and manufacturing services tailored to meet the demanding requirements of the nuclear power industry.
Reporting to the Director, Human Resources, the Human Resources Administrator will perform a variety of routine clerical and administrative duties to support the human resources department. This individual will be the key point of contact for all employee inquiries. With exposure to all aspects of Human Resources, the Human Resources Administrator will be responsible for all payroll, benefit, onboarding and HRIS system tasks as well as support the corporate human resources team with various HR initiatives.
What You’ll Do Here:
Benefits
- Responsible for ensuring employees are aware of benefit eligibility dates, that they’ve received their benefit booklets and that they are aware of how to sign up online, print their benefit cards and submit claims.
- Responsible for providing any clarification to employees and the pension & benefits department
- Responsible to submit any associated documentation needed to the pension and benefits department
Compensation
- Responsible for tracking all employment changes throughout the year (promotions, title changes, employment status)
- Assist in the annual bonus program (STIP) by creating, tracking, submitting and filing all employee letters
- Provide support when required for annual increases (running reports, updating spreadsheets, drafting and issuing letters to employees)
- Responsible for creating and filing all employee letters
Payroll
- Ensure that all Employee Change paperwork is complete and submitted for salary employees and hourly employees (Personal data changes, Status Changes, Organizational changes, Position changes, Personal information changes, Pay rate Changes, Terminations)
- In charge of investigating and answering employee questions associated with their pay acting as a liaison between the employee and salary payroll department & hourly payroll department
- Human Resources Information System
- Submits and verifies all employee records in the HRIS database (Success Factors) are accurate
- Reviews bi-weekly and weekly payroll report to ensure accurate data entry.
- Generates standard daily, weekly and monthly reports (i.e. new hires, terminations, headcount, benefits, training, performance reviews etc.)
- Generate new and ad hoc HRIS reports as needed by the HR department
Recruitment
- Post all available positions internally and/or externally depending on the recruitment strategy
- Take down all filled positions and ensure the Aecon website is up to date with only current positions
- Schedule interviews, perform reference checks for potential candidates, and participate in interviews as needed
- Draft employment agreements
- Responsible for ordering all IT equipment and ensure employee is equipped for first day
Other
- Maintains HR forms to ensure availability for employee use.
- Maintaining and updating highly confidential information daily. Shreds confidential documents to ensure confidentiality.
- Files administrative documents in employee files.
- Fosters Aecon’s Core Values the department and throughout the company.
- Performs a variety of clerical and administrative duties in support of Human Resources
- Schedule meetings for HR and others on an as needed basis
- Create presentations when necessary/ as requested
- Send out e mail communications when necessary/ as requested
- Assist with organizing and coordinating office events (Take your kids to work day, BBQs, etc.)
- Responsible for answering any employee inquiries
- Participates in special projects and performs additional duties as required
What You Bring to the Team:
- Post secondary school education
- 1-2 years’ experience working in a Human Resources or Payroll department
- Working knowledge of Microsoft Office Products (Word, Excel, PowerPoint, Outlook)
- Strong analytical, mathematical skills and problem-solving skills
- SAP experience is an asset
- Accurate and detail oriented
- Excellent organizational, interpersonal and customer service skills
