We are looking for a Senior Document Controller to provide general records management and document control services to ensure CNL’s information assets are managed in accordance with well-defined policies, procedures, processes and practices in order that records may be retrievable in the future to support department requirements. What you will be doing!
- Registering, reviewing, Functional Documents (i.e. Management System documents and Conduct of Operations documents (i.e. SQR role), and coaching to client groups on type of content expected in each template as well as articulating document hierarchy
- Responsible for ensuring information assets are filed are in accordance with procedures, policies, and processes.
- Acting as the main contact to answer routine questions, obtain and provide information to stakeholders, interpreting IM procedures, the protection Information and retention/ disposition of information, within and outside the branch, ensuring timely and accurate response
- Conducting audits on records filed by client groups and document controllers, reporting errors, directing the client groups to make the necessary correction (or doing so themselves where applicable). Troubleshoot workflow issues and handles exception
- Maintaining deliverables schedule, prepare aging/ status reports for client groups. As issues arise in client groups, conduct a cause analysis and work with team members to come up and implement solutions to remediate issues.
- Formatting large documents on behalf of client, including building simple forms
- Providing backup support to other sections, or other roles within the same section
- Acting as the main contact to answer routine questions, obtain and provide information to stakeholders within and outside the organizations ensuring timely and accurate response.
- Providing general assistance to the staff within the Department by issuing and/or filing correspondence.

What we are looking for:
- Education
- Successful completion of post-secondary education with 3-5 years of related experience, or document control certification and 3-5 years of related experience, or a minimum of 10 years of progressing document control experience
- Knowledge, Skills, and Abilities
- Advanced knowledge of Microsoft Office Suite and Adobe to filter reports, capture documents in PDF format, format documents, and prepare them for archival, modify existing procedures and create flowcharts.
- Advanced knowledge of electronic document management systems to search for, validate, process, issue, and archive documents.
- Demonstrated practical knowledge of industry-specific/ best practice document control, records management and archival standards.
- Detail-oriented to identify discrepancies and errors in formatting and coding of documentation as well as any inconsistencies in metadata and records.
- Oral and written communication skills to interpret existing procedures to customers and coworkers.
- Ability to engage clients at all levels of the organization, with tact and courtesy.
- Ability to get and maintain Level 2 Security Clearance
- Security clearance eligibility required:
- Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, United States and/or the United Kingdom.

Location of Work - Remote
- This role is based out of CNL’s Chalk River site, however the primary work location will be remote. Although this role is considered to be fully remote, presence at the Chalk River site may be needed on occasion and will be determined by the manager, based on internal client and project needs. CNL may require travel from time to time, as necessary.
