What will you be doing!
- Registering, reviewing Functional Documents (i.e., Management System documents and Conduct of Operations documents), coaching client groups on the type of content expected in each template, and articulating document hierarchy.
- Ensuring information assets are filed following procedures, policies, and processes.
- Acting as the primary contact to answer routine questions, obtain and provide information to stakeholders, interpreting Information Management procedures, protecting information, and managing retention/disposition of information, both within and outside the branch, ensuring timely and accurate responses.
- Conducting audits on records filed by client groups and document controllers, reporting errors, directing client groups to make necessary corrections (or doing so themselves where applicable), troubleshooting workflow issues, and handling exceptions.
- Maintaining deliverables schedule, preparing aging/status reports for client groups, conducting cause analysis when issues arise, and working with team members to implement solutions to remediate issues.
- Formatting large documents on behalf of the client, including building simple forms.
- Providing backup support to other sections or roles within the same section.
- Acting as the primary contact to answer routine questions and obtain and provide information to stakeholders within and outside the organization, ensuring timely and accurate responses.
- Providing general assistance to the staff within the department by issuing and/or filing correspondence.
- Other duties as assigned by your manager.
What we are looking for:
- Education
- Successful completion of post-secondary education with 3-5 years of related experience or document control certification.
- Experience
- 3-5 years of related experience or at least 10 years of progressing document control experience.
- Knowledge, Skills & Abilities
- Advanced knowledge of Microsoft Office Suite and Adobe to filter reports, capture documents in PDF format, format documents and prepare them for archival, modify existing procedures and create flowcharts.
- Advanced knowledge of electronic document management systems to search for, validate, process, issue, and archive documents.
- Demonstrated practical knowledge of industry-specific/ best practice document control, records management and archival standards.
- Detail-oriented to identify discrepancies and errors in formatting and coding of documentation and any inconsistencies in metadata and records.
- Oral and written communication skills to interpret existing procedures to customers and coworkers.
- Ability to engage clients at all levels of the organization with tact and courtesy.
- Security Clearance Eligibility Required
- Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's “Standard on Security Screening” and the “Policy on Government Security.”
