Role:
Provide secretarial and administrative support to managers, members of their department, and those located nearby. Knowledge of routine office work and understanding of the organization, its programs, and procedures, as applicable. Work independently with minimal supervision and detailed instructions.
Responsibilities/Tasks:
- Prepare, review, and update various department-related reports (daily, weekly, and monthly).
- Enter data into various internal systems.
- Prepare purchase requests, prepare proposals, and place shipping orders.
- Process travel requests and obtain necessary approvals.
- Monitor budgets.
- Proofread and edit correspondence. Prepare, write, format, and translate various department-related documents.
- Participate in team meetings as needed and follow up as required. Record and prepare meeting minutes.
- Prepare meeting presentations, reports, and other related documents based on instructions provided by your manager.
- Coordinate the internal flow of information received by email or mail.
- Respond to inquiries received by phone and email. Forward phone calls and messages to the appropriate individuals.
- Schedule and confirm appointments, interviews, meetings, and teleconferences, and reserve rooms.
- Obtain approval for invoices and answer questions regarding expenses. Monitor budgets.
- Prepare expense account reports and distribute checks.
- Prepare visitor visits and prepare required documentation, if necessary. Greet visitors and direct them to the appropriate person.
- Order office supplies and maintain inventory according to the allocated budget. Coordinate the purchase of equipment for new employees, if necessary.
- Organize, manage, and maintain electronic and paper filing of documentation. Maintain files according to departmental needs, including archival files.
- Prepare and transmit catering orders.
- Make replacements at the main reception.
- Prepare, support, and conduct, as needed, the onboarding of new employees, including, but not limited to, IT requisition forms, equipment delivery, and onboarding sessions.
- Manage, maintain, and coordinate the payment of contractor and consultant invoices, including, but not limited to, time verification and the approval process.
- All other related tasks specific to each role and assigned department.
Minimum qualifications required:
- College training in office automation or equivalent.
- Two (2) or more years of experience in administrative support or secretarial work.
- Team player.
- Proactive, dynamic, resourceful, and autonomous.
- Able to manage time and deadlines.
- Able to work without direct supervision.
- Superior, advanced knowledge of the following software: Word, Excel, PowerPoint, ERP, Visio, Acrobat, etc.
- Working knowledge of office skills.
- Excellent interpersonal and communication skills, including the ability to deal with all levels of the organization and external clients.
- Good judgment.
- Must be flexible and open to change.
- Good knowledge of French and English, both oral and written (department reporting to the Ontario head office).
