What will you be doing!
- Coordinating Workflow for Branch Staff and Managers:
- Managing schedules, meetings, and appointments.
- Coordinating meetings by booking rooms, sending invitations, and arranging catering.
- Reviewing incoming correspondence and email, taking appropriate action as required.
- Preparing correspondence, meeting minutes, action lists, and prioritizing commitments.
- Tracking and following up on action items assigned to the Manager and staff.
- Acting as a liaison between the Manager and the branch/directorate staff.
- Arranging and coordinating travel.
- Maintaining accurate office records, files, and follow‑up systems for outstanding issues.
- Ensuring Reports Meet CNL Standards:
- Adhering to CNL’s corporate document standards, formats, storage guidelines, and numbering protocols.
- Collaborating with internal and external groups to ensure all reporting requirements are met.
- Reviewing and updating formal documents, presentations, and spreadsheets to ensure compliance with formatting requirements.
- Communicating objectives, directives, policies, and general information to staff, ensuring quality in cross‑functional administrative processes.
- Ensuring engineering documents follow appropriate approval processes and workflows.
- Supporting Sensitive HR, Finance, Security, Dosimetry & Radiation Protection Activities:
- Handling sensitive and confidential information for all levels of departmental and divisional staff.
- Classifying and submitting invoices (purchase order and non‑purchase order) to Accounts Payable.
- Preparing iReqs for quotes and purchase orders for materials, tools, equipment, Personal Protective Equipment & Clothing, and service contracts.
- Coordinating with CNL (Chalk River Laboratories) Security to review and process security clearances for staff and contractors.
- Reviewing and submitting facility usage hours.
- Daily Office Administrative Duties:
- Reviewing, editing, and formatting documents.
- Tracking and ordering office supplies.
- Handling photocopying and printing needs.
- Submitting maintenance and IT service requests.
- Preparing and submitting expense reports.
Other duties as assigned by your manager.
What we are looking for:
- Education & Experience
- Secondary School Graduation.
- 2 to 4 years of related experience or a college diploma in a related discipline (e.g. Office Administration).
- Experience
- Experience in Autodesk Vault is considered an asset.
- Knowledge, Skills & Abilities
- Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel.
- Detail-oriented and demonstrated ability working in a fast-paced office environment.
- Excellent written and oral communication skills.
- Superior organization skills and dedication to completing projects promptly.
- Excellent time management skills and ability to multitask and prioritize work.
- Attention to detail and problem-solving skills.
- Can work independently without supervision.

- Demonstrates tact, diplomacy, trust, and discretion in handling sensitive and confidential information.
- Knowledge of office management systems and procedures.
- Ability to work under pressure and adhere to strict deadlines and confidentiality.
- Security Clearance Eligibility Required
- Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's “Standard on Security Screening” and the “Policy on Government Security.”
Working Conditions:
- Working schedule: Five (5) days per week, seven and a half (7.5) hours per day for a thirty-seven and a half (37.5) hour work week.
- The majority of duties involve screen time, typing, and sitting for extended periods.
