What will you be doing!
- Preparing documents, tracking and transmitting documents internally and externally with project stakeholders.
- Performing daily record entry for Small Scale Sites and teams as needed using Content Server and Windows Explorer, including the responsibility of quality control throughout the migration process of thousands of electronic records while also ensuring the validity of records through accurate data entry.
- Managing and maintaining electronic records per CNL standards and licensing requirements, processes, and systems and ensuring compliance by performing regular audits and assessments on inventories.
- Working with record owners to ensure quality is maintained as per Information Management standards, that improper activities are resolved, and record owners are coached for continuous record improvement.
- Responding to project staff inquiries regarding record holdings and assisting with retrieving records in timely and accurate responses.
- Taking and preparing minutes of meetings and distributing to attendees for review and comment.
- Booking conference rooms; arranging meetings (including tele/video conferencing) and catering; completing
photocopying/scanning; sending/receiving faxes, mailouts, and sending letters; and escorting visitors.
- Other duties as assigned by your manager.
What we are looking for:
- Education
- Secondary School Graduation plus post-secondary training in Office Administration or other applicable program.
- Experience
- Minimum of 2 to 4 years related experience or the equivalent.
- Experience with content servers is an asset, as is experience with other enterprise-level information/records management systems.
- Experience with Microsoft Office Suite.
- Knowledge, Skills & Abilities
- Proven ability to work on repetitive tasks over long periods.
- Detail-oriented to identify discrepancies and errors in storing electronic documentation and any inconsistencies in metadata and records.
- Strong communication and customer service skills.
- Organized and able to plan and perform tasks with minimal guidance.
- Excellent interpersonal skills and possess a professional attitude.
- Team player and trustworthy for managing sensitive records.
- Excels at staying focused on manual tasks with an ability to maintain efficiency.
- Must have excellent data entry skills and be highly accurate.
- General knowledge of databases to search, validate, archive, and process documents.
- Security Clearance Eligibility Required
- Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's “Standard on Security Screening” and the “Policy on Government Security.”
