The Role:
We are seeking a professional Executive Assistant with excellent customer relations and communication skills, who can provide exceptional administrative support to a team of Executives in our Ottawa office. The successful candidate must be highly organized and able to multi-task and meet tight deadlines.
Job Responsibilities:
- Manage scheduling, mail, email, phone calls, client management, and other company logistics
- Provide administrative support to the teams that support the Executive Leadership Team
- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
- Office management including greeting visitors
- Manage travel logistics and activities, including accommodation and transportation
- Coordinate Executive Team Travel and Expense submission in accordance with company policies and procedures, provide travel booking support and expense submittal support, reconcile AMEX statement with receipts.
- Work effectively with other team members at our other sites, sharing information and coordinating tasks to ensure smooth and consistent operations
- Maintain professionalism and strict confidentiality with all materials
Job Requirements/Experience:
- Minimum of eight (8) years' work experience in an Executive Assistant position or similar role, ideally supporting senior executives.
- Requires strong analytical skills, problem-solving and fact-finding capabilities.
- Exceptional knowledge of Microsoft Office Suite (Outlook, Excel, Word, Powerpoint) and other relevant software
- Superior typing skills, fluent use of written English with a good working knowledge of composition, grammar and punctuation and a keen eye for detail.
- Exceptional organizational and time management skills with a clear sense of urgency and follow-up
- Anticipate needs and exercise judgement in making decisions within the scope of authority with the ability to prioritize work independently with minimum supervision and guidance.
- Flexible team player, willing to adapt to changing priorities and work effectively in a fast-paced environment.
- Coordination of support and collaboration with the other Assistants.
- Be professional at all times and maintain discretion in managing sensitive or confidential information
- French an asset
Comments/Special Considerations:
Successful candidates must obtain and hold security clearance at the reliability status level, and pass security assessment for the Controlled Goods Program (CGP) and ITAR.

The compensation range for this position is $75,000-90,000 annually. The specific compensation offered will be based on the qualifications and experience of the successful candidate.
