Be a part of Canada’s premier Science and Technology organization, Canadian Nuclear Laboratories (CNL), as the Historic Waste Program (HWP) Management Office in Port Hope, Ontario implements Canada’s largest low-level radioactive waste (LLRW) environmental remediation project, the Port Hope Area Initiative (PHAI). The project involves remediating many contaminated sites to establish clean-up criteria and consolidating the wastes in a new engineered mound (one in each community).
We are looking for a Project Clerk. Can you see yourself preparing, tracking, and transmitting documents internally and externally with project stakeholders.? What will you be doing!
- The Clerk will be required to prepare documents, track, and transmit documents internally and externally with project stakeholders.
- Assists project team with coordinating the signage of documents and transmitting or mailing documents to property owners or external stakeholders.
- Performs photocopying/scanning; sends/receives faxes.
- Compilation of complex documents.
- Completes other duties as assigned.
Project Deliverable Transaction Management:
- Interacts directly with the Project Delivery Team and other stakeholders and develops and maintains a system to manage project deliverable transactions, monitoring and reporting on upcoming deadlines and providing accurate status updates.
Document Management:
- Manages controlled documents per CNL procedures. This includes submission of finalized deliverables to CNL document repositories (Atom/TRAK). Knowledgeable in implementing CNL document numbering system for branch documents and records.
Project File Management:
- Assists with the development of the file structure and maintains up-to-date project files.
Meeting Management:
- Sets-up meeting notices, reserves meeting rooms, establishes agendas per meeting stakeholder input, prepares meeting room in advance of meeting including tele/video conferencing) and catering; escorts visitors; copies and distributes meeting materials, manages meeting attendee lists, prepares meeting minutes, and once finalized, distributes meeting minutes.
What we are looking for:
- Education: Secondary School Graduation plus post-secondary training in Office Administration or another applicable program.
- Experience: A minimum of 2 to 4 years related experience or the equivalent.
- Excellent interpersonal, written, and oral communication skills are essential, as well as good planning skills and a highly organized approach to work.
- Demonstrated ability to use tact, diplomacy, trust, and discretion in handling of sensitive and confidential information.
- Demonstrated ability to use initiative and apply judgment in an environment of changing and often conflicting priorities. Dependable and willing to work to tight schedules and, on occasion, extra hours.
- Team oriented with demonstrated ability to work well with others and promote positive work environment.
- Advanced knowledge of Microsoft Office Products (Word, Outlook, PowerPoint, Excel) is required, and the ability to manage controlled documents per CNL procedures.
- Ability to learn and adapt to software and technical changes.
- Must possess excellent business/administrative skills and have demonstrated the ability to quickly learn and utilize new applications that support business operations.
- Must be able to create and maintain spreadsheets to track and provide the status of project deliverables as required by the project team.
- Demonstrated ability to comprehend and relay information concisely and accurately, and to work with minimum supervision in an environment requiring initiative and the ability to work effectively with all levels of personnel.
- Must have the ability to work, plan and prepare own work schedule; develop, measure, and assess goals; manage time, all under demanding and diverse situations.
- Good judgment, initiative, strong drive, positive attitude, and consistent, careful attention to detail are essential to solve problems and obtain and analyze data.
- Security clearance eligibility required: Reliability Status - which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat “Standard on Security Screening” and the “Policy on Government Security”.
Working Conditions:
The Clerk manages their own activities, to meet schedules and priorities, under the general direction of the Manager, Characterization Oversight. Tasks are generally defined but will require initiative and problem-solving skills to be applied in order that they are completed successfully. The incumbent must be highly self-motivated, willing to provide support to a wide variety of tasks and projects and be able to personally establish priorities and schedules that ensure delivery of the expected quality results within the known deadlines.

CNL works with employees across our Canadian locations to enable a hybrid workforce where possible. Our Hybrid employees work with their manager to establish expectations for when they will be on site vs when they are working from home.

Roughly 100kms East of Toronto, still close enough to the “Big City” without all the hassle of being in the “Big City”. The cleanup of historic Low Level Radioactive Waste by CNL in the communities of Port Hope and Port Granby in Ontario is a demonstration of Canada’s commitment to the safe, long-term storage and management of nuclear waste.
